This Privacy Policy explains how Jodie Donald, trading as The Organised, a sole trader of 1 Heather Glade, Madeley, Crewe, CW3 9EP ("we", "us", "our"), collects, uses, and protects your personal data when you visit theorganised.co.uk (our "website") or engage our professional organising services. We are the data controller for the purposes of UK GDPR and the Data Protection Act 2018.

1. What Personal Data We Collect

Depending on how you interact with us, we may collect:

Data you give us directly:

  • Name, email address, phone number, and postal/property address

  • Details you share on our contact form, at booking, or during a Discovery Call — including information about your home, your organising goals, and any access, pet, or household details relevant to a session

  • Payment details when you book a paid service (processed securely — see clause 5)

  • Photographs of your home, only where you've given separate consent (see clause 6)

  • Any correspondence you send us by email, phone, or social media

Data collected automatically:

  • Technical data such as IP address, browser type, device information, and pages visited, via cookies and similar technologies (see clause 4)

We do not knowingly collect any special category data (such as health information) unless you choose to share it with us — for example, if you tell us about a mobility need that affects how we plan a session. Where you do share this, we only use it to deliver your service safely.

2. How We Use Your Data

We use your personal data to:

  • Respond to enquiries and book Discovery Calls

  • Plan, deliver, and follow up on our organising and home move services

  • Process payments and keep financial records

  • Send you service-related communications (e.g. booking confirmations, care guides, check-in calls)

  • Send you marketing communications, where you've opted in (see clause 8)

  • Improve our website and services, including through analytics

  • Meet our legal and tax obligations (e.g. HMRC record-keeping as a sole trader)

3. Our Legal Basis for Processing

We rely on the following legal bases under UK GDPR:

  • Contract: to provide the services you've booked with us

  • Consent: for marketing emails, photography/marketing use of your home, and non-essential cookies

  • Legitimate interests: to run and improve our business, including website analytics and responding to enquiries, balanced against your rights and interests

  • Legal obligation: to keep financial records for HMRC as required by law

4. Cookies & Analytics

Our website uses cookies and similar technologies to:

  • Enable core site functionality

  • Understand how visitors use our site, via Google Analytics, Google Tag Manager, Meta & Hostinger.

  • Measure the effectiveness of our advertising, via Google Ads conversion tracking.

You can control or disable cookies through your browser settings, or via the cookie banner on our website.

5. Payments

Payments for our services are processed via Stripe, or our Hostinger payment link. We do not store your full card details ourselves; these are handled securely by our payment provider in line with their own privacy policy and PCI-DSS standards.

6. Photography

If you consent to us taking before-and-after photographs of your home for our portfolio, website, or social media, we will only use identifiable images with your separate, explicit sign-off after your session, as set out in our Terms & Conditions. You can withdraw this consent at any time by emailing hello@theorganised.co.uk, and we will remove the relevant images from future use as soon as reasonably possible.

7. Sharing Your Data

We do not sell your personal data. We may share it with:

  • Service providers who help us run our business, such as our website host (Hostinger), payment processor, email/booking tools, each bound by their own data protection obligations

  • Other organisers working with The Organised, where they're involved in delivering your session

  • Professional advisors (e.g. accountant), where necessary

  • Authorities, where required by law (e.g. HMRC, or in response to a legal request)

We do not share your data with third parties for their own marketing purposes.

8. Marketing Communications

We will only send you marketing emails (such as tips, offers, or updates) if you've opted in — for example, by ticking a consent box on our contact form or subscribing directly. You can unsubscribe at any time using the link in any marketing email, or by emailing hello@theorganised.co.uk. Opting out of marketing won't affect service-related communications about a booking you've made.

9. International Transfers

Some of the tools we use (such as Google's services) may transfer data outside the UK. Where this happens, we rely on providers who offer appropriate safeguards, such as the UK's International Data Transfer Addendum or the EU-US Data Privacy Framework, as applicable.

10. How Long We Keep Your Data

  • Client and booking records: kept for as long as needed to deliver your service, plus 6 years afterwards to meet HMRC record-keeping requirements as a sole trader

  • Enquiry/contact form data (where no booking follows): kept for up to 12 months, then deleted

  • Marketing consent records: kept until you unsubscribe or withdraw consent

  • Photographs: kept until you withdraw consent for their use, or until no longer needed for the purpose agreed

11. Your Rights

Under UK GDPR, you have the right to:

  • Access the personal data we hold about you

  • Correct inaccurate or incomplete data

  • Request erasure of your data, where applicable

  • Restrict or object to certain processing

  • Request a copy of your data in a portable format

  • Withdraw consent at any time, where processing is based on consent

  • Complain to the Information Commissioner's Office (ICO) at ico.org.uk if you're unhappy with how we've handled your data

12. Children

Our services and website are intended for adults. We do not knowingly collect personal data from children under 16.

13. Keeping Your Data Secure

We take reasonable technical and organisational measures to protect your personal data against unauthorised access, loss, or misuse, including secure storage of records and limiting access to those who need it to deliver your service.

14. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or the law. The version published on our website at the time applies.
